Apple iOS: Share iPhone notes and edit together under iOS - that's how it works

The »Notes« app on the iPhone has developed significantly in recent years and received many new functions. But sometimes the operation is not always intuitive and actually essential features cannot be found immediately for everyone.

Perhaps this is the case with "Share notes and edit together". For colleagues, friends or families, the function is practical to keep an eye on ideas together, to manage the shopping list or to manage a renovation.

The iOS operating system enables notes in different ways:

  • You can share notes with others so that they see their content.
  • Notes can also be released and edited together if necessary so that all invited can make changes to them.

With the latter option, the released people also see all changes in real time. You will also receive a notification if another person mentioned you or makes changes to shared notes. The changes made can also be displayed.

Share iPhone notes

First open the »Notes app« on your iPhone or iPad and select the corresponding note that you want to share. Then proceeds as follows:

  • Tap the part-symol on the top right of the screen.
  • Click the "Working" field and select "Send a copy" here.
  • Here you can now choose how you want to send the note. Among other things, this works via Airdrop, iMessage or other apps and messenger.

The recipients then receive a copy of your note and can view their content.

iPhone notes and sharing and editing together

If other people are to have direct access to a note, this works as follows:

  • In the note that you want to release, you first tap the part symbol.
  • "Working together" should already be selected in advance. But if "send a copy" here, tap it and choose the other option.
  • Right below you can use a tip to "only work on invited people." Set who or whether anyone can process the notes at all. It is also possible to only release them for viewing. This is how invited people see your changes in real time, but cannot do any themselves.
  • Share the note then via iMessage, email or in another way with others.

View activities

If you have invited others to edit, they can be viewed in real time. If someone changes something within the note, you can see its or their profile picture at the corresponding place.

In addition, you can call up the lead and the type of change by tapping the profile photo of the respective person.

Afterwards choose:

  • Show all activities.
  • Then tap on "(name) made changes".

You will then be marked in the note where the changes have been made.

Remove people from joint access

Would you like to remove one or more people from the joint processing? Then proceed as follows:

  • Type within the shared note on a profile picture at the top of the screen.
  • Then select "Manage shared note" in the opening menu.
  • A list of the invited people is displayed. Tap the person to be removed and then select "Remove access".
